Our Annual General Meeting and Covid-19

Guidance For Members Attending The Meeting

Last year's AGM had to be cancelled as, because of Covid-19, the Government had implemented legislation forbidding indoor gatherings.

Since then this legislation has been rescinded and the official advice is that meetings such as ours may now be held, providing we adopt 'common sense' practices.


Needless to say, if the Government introduces new guidance or restrictions before the meeting, we will respond accordingly.


Face coverings are no longer required by law, but the Government "expects and recommends" them in crowded/enclosed spaces.  Ventilation of buildings is strongly encouraged whilst meetings are in progress to enable the replacement of 'stale' air with 'fresh'.  A record needs to be kept of all those attending the meeting to enable 'track & trace' if an attendee should report becoming ill.


As a consequence, and because it is in the Club Rules that we must hold the meeting if possible, the AGM will go ahead under the following conditions:


1.  Members are requested not to attend if they have Covid-19, the symptoms of Covid-19, have currently tested positive for Covid-19, or are isolating because of possible exposure to Covid-19 (including isolation following a visit abroad).  Out of respect for your fellow members it is important that, if this applies to you, you should stay away from the Club until you have met the prevailing Government conditions for resuming social activity.


2.  The meeting will be ventilated by opening the high level windows and/or the double doors to the green as well as the kitchen outside door - make sure you are well wrapped up as it is likely to be chilly.


3.  You are politely asked to wear a face covering (unless you are exempt) whilst you are in the Clubhouse.  You may remove it whilst you are addressing the meeting (or taking refreshment), but please replace it once you have finished.


4.  Make sure that you enter your name in the Covid Register (together with time in and out)


5.  Hand sanitiser will be generally available should you require it.


6.  The Chair will endeavour to get through the business of the meeting as quickly as possible so as to limit the amount of time members are in the building.  You are asked to be helpful in this respect.
